Before the introduction of XOPs, KPI tracking was a labor-intensive manual process.
Previously, monthly KPI evaluations at TechX were a grueling manual endeavor. Project Managers had to manually export data from Jira and pour into Excel, tally completed tasks and apply formulas to calculate KPI scores for every team member. This recurring cycle not only consumed hours of valuable time but also left the door wide open for human error. Furthermore, when data is fragmented across departments, performance reviews lose their objectivity, making it difficult for leadership to gain a true, holistic view of team productivity.
XOps was born to address this challenge, replacing fragmented workflows with a centralized, automated system. Over time, the scope of the project has evolved far beyond its original mission. To truly understand what XOps does and why they are vital to TechX's ecosystem, let's dive into this article
XOps - one portal for every operation
XOps stands for TechX Operations - the centralized internal operating system of TechX. It is a unified platform that integrates project management, human resources, performance tracking, revenue, costs, and AI applications for workflow automation into one seamless ecosystem.
XOps centralized data and operations across the TechX ecosystem into a single, unified system. By leveraging Automation and AI, we empower everyone to work more efficiently while ensuring total transparency from the staff level all the way to management.
How does XOps work?
Architecturally, XOps functions as a Centralized Operations Platform, connecting and ingesting data from a wide array of sources, including our CRM, project management tools, and various departmental systems to create a single, unified source of truth.
By aggregating this data into one central hub, XOps executes six core modules that power the entire company lifecycle.
Performance Management: XPIs
As the foundational core of XOps, XPIs replaces manual tracking with a sophisticated automation engine. The system automatically aggregates data from various productivity tools, applies pre-defined business logic, and populates individual performance scorecards for every employee.
Line managers are no longer bogged down by data entry, just simply access the dashboard to review system-calculated scores and provide final approvals. More importantly, it offers a high-level view of team productivity and trends, tracking everything from tasks delivered to milestones achieved over months and quarters. Historical data is visualized to showcase a growth journey, shifting the focus from static snapshots to long-term development.
Project Management and Internal Operations
Building on the success of performance management, XOps has expanded into a suite of operational modules tailored to the unique needs of every department:
Project Management: Manages the entire project lifecycle, from proposal to completion, with centralized data and transparent approval flows.
CS Operations: Empowers the Customer Success team to track and manage client engagements with precision.
Revenue Planning: A strategic tool for financial forecasting, fully integrated with real-time operational data.
Business & Expense Approval Flows: Digitizes the submission and approval of budgets and plans, effectively replacing fragmented email threads and scattered documents.
The true strength of XOps lies in customization. Rather than offering a "one-size-fits-all" tool, the XOps team works directly with each department to understand their specific business rules and build bespoke solutions that fit their unique workflows.
AI Operations
We are integrating advanced AI models where operational decisions are powered by real-time data and AI insights, moving away from reliance on intuition or personal experience. The goals needed to achieve are:
Early Warning Systems: Identifying potential bottlenecks in the workflow before they become critical issues.
Intelligent Suggestions: Recommending the next best steps in a process to maintain momentum.
Autonomous Tracking: Reducing manual updates between cross-functional teams.
Xbot: The ultimate digital assistant
Beyond the main platform, XOps powers Xbot - an internal AI ecosystem designed to support every TechX member. Far from a basic chatbot, Xbot is a collection of intelligent agents:
Policy navigator: Instantly answers questions regarding company policies and procedures, saving employees from digging through hundre
ds of pages of documentation.
Meeting Co-pilot: Our most popular feature. Xbot automatically records, transcribes, and stores meeting content—both internal and client-facing. This allows PMs and CS leads to stay fully present without worrying about taking notes.
Task Creation Agent: Seamlessly converts conversation highlights into actionable tasks, closing the gap between discussion and execution.
Onboarding Partner: Guides new hires through their first days by answering questions and providing access to the Knowledge Base, ensuring they hit the ground running without overextending their colleagues' time.
Meet the team behind XOps
The XOps team operates as a full-scale product squad, equipped with every function necessary to build and maintain a complex, high-performance platform:
Software Engineers: The technical backbone of XOps, responsible for engineering new features and ensuring the platform’s stability and scalability.
Business Analysts (BA): The vital bridge between "business needs" and "technical execution." BAs translate departmental pain points into precise technical requirements.
Project Managers: The drivers of progress, coordinating with stakeholders and ensuring every module is delivered on time and with impact.
QA/QC: The gatekeepers of quality, ensuring every feature is polished and bug-free before it reaches our internal users.

The XOps team won the Project of the Year award
Operating with high speed and extreme flexibility, every member is encouraged to look beyond their specific tasks to understand the big picture. This holistic approach ensures that every line of code written by the XOps team serves the ultimate goal: making TechX smarter and more efficient.
Challenges in operating the XOPs system
The biggest challenge is ensuring the input integrity, output reliability and employees' discipline. Employees must log their productivity honestly, the project managers must update data according to protocol, and every department must adhere to the defined workflows. Then XOps can automate calculations and visualizations with ease.
When XOps has become an essential part of TechX ecosystem and TechX members, this is also a case of change management. Shifting the habits of an entire organization doesn't happen overnight. The XOps team must constantly engage with departments, mentoring, explaining, and sometimes persuading internal users on why this shift in their daily work is essential for the company's collective growth.
"The hardest part isn’t building the system, it’s ensuring everyone uses it correctly. If the input is flawed, no matter how advanced the system is, the results will be too." Ms. Tuong Do - Project Manager of XOps system
The proudest moments
The XOps team has reached many technical heights since its inception. The success of this project comes in two forms. The first was the moment the platform was released and truly adopted by the entire company. For an internal product team, the ultimate validation isn't just "going live", its seeing real colleagues provide real, positive feedback on how the tool has changed their workday.
The second is the culture of the team. The XOps team processes the spirit of collective ownership within XOps, the support of one another and meets ambitious deadlines autonomously, without the need for micromanagement. It is this rare blend of professional accountability and genuine camaraderie that makes XOps a as a proud team.
The 2026 mission: a fully data-driven TechX
Looking ahead, 2026 marks the year XOps achieves full-cycle operational digitization. The goal extends far beyond performance tracking, it is digitizing every internal heartbeat of TechX, from the initial proposal to final approval, from onboarding to off-boarding, and from daily operations to long-term strategic planning.
Parallel to this expansion is the deep integration of AI across every module, moving beyond data visibility, building a system that provides managers with actionable intelligence, and recommending specific next steps based on real-time insights.
